Meeting Summary: Parent Committee (March 8, 2026)

1. Committee Changes & Recruitment

• Resignations: We farewelled Justin Henderson and Scott Lyall from the committee.

• New Roles: We are looking for a Secretary and a Fundraising/Event Coordinator. To make these roles more manageable, we have defined specific tasks (included in the full minutes).

• Admin Update: Allison Lee is now the primary administrator for the group email (alexandriascouts@gmail.com) to streamline communication.

2. Fundraising & Grants

• General Gordon Hotel (September): We have a casual fundraising event coming up. We need volunteers for just one hour per week over a four-week period.

• Grants: We are currently applying for a Mirvac Community Grant to support the group's goals.

3. Facility & Logistics

• Fire Safety: A hall inspection is confirmed for Thursday, March 26th at 10:00 am.

• Hall Hire: Isabel McIntosh continues as coordinator and is developing a "cheat sheet" to help others step into the role in the future.

4. Upcoming Camps

• Crossland Camp (March 28–29): Confirmed. Keep an eye out for correspondence regarding payments through our new system.

5. Small Group Fee Increase (2026–2027)

The committee has confirmed the fee structure for the upcoming year (April 2026 – March 2027):

• State Membership Fee: $300 per year (covers insurance, training, and resources).

• Local Group Fee: Increased to $190 per year (covers hall maintenance, utilities, and weekly activities).

• Note: Installment plans are available for the State fee.
